Party Packages T&Cs

These terms apply to all party bookings including themed parties, sleepover parties, arts & crafts parties, and pamper parties, hosted by Kay Bear.

 

Booking & Payment

  • To confirm your party booking, a 50% non-refundable deposit is required at the time of booking.

  • The remaining 50% is due on the day of the party before the event starts.

  • Payment is made securely through our website at the time of booking, and the final balance can be paid via cash or bank transfer on the day of the party.

 

Cancellations & Postponements

  • Cancellations:

    • If you cancel your party more than 4 weeks before the event date, we will retain the 50% deposit.

    • If you cancel less than 4 weeks before the event date, 100% of the remaining balance is due.

    • If you need to postpone your event due to personal reasons, we can reschedule your party for another available date within 12 months of the original event date at no extra charge, subject to availability.

  • In the event of unforeseen circumstances (e.g., extreme weather, illness, venue closure, or government restrictions), we will work with you to reschedule your event or find a suitable resolution. Your deposit will be held for rescheduling purposes, and any non-refundable costs (e.g., supplies or external service fees) will be discussed on a case-by-case basis.

 

Changes to Your Party

  • You may add or change party items or services (subject to availability) up to 2 weeks before the party.

  • After that time, changes are subject to availability, and no items can be removed from your order without affecting the final balance.

 

Party Setup & Equipment

  • For themed parties, sleepovers, arts & crafts, and pamper parties, all setup and clean-up is handled by Kay Bear Events unless otherwise agreed.

  • Any hired props or decorations remain the responsibility of the client until they are returned or collected by us. Damaged or missing items will be charged at full replacement value.

 

On the Day of the Party

  • A member of the Kay Bear team will arrive at least 30 minutes before the event to set up (timing may vary based on the complexity of the party).

  • We ask that you provide access to the event space at least 30 minutes before the party start time to allow for set-up.

  • We will require a designated area for our supplies, as well as safe space for any party activities (especially for arts & crafts or pamper parties).

 

Liability

  • Kay Bear is not liable for any injury or accidents caused by party activities or props used during the event.

  • The client is responsible for the safety and conduct of guests during the party, especially if children are present.

  • If additional costs are incurred due to damages or lost items (including hired items or event-specific props), these will be charged to the client and must be paid in full.

 

Food & Drinks (for Sleepovers or Pamper Parties)

  • For sleepover parties or pamper parties, if you choose to provide food or drinks, please ensure any food items comply with your guests’ dietary needs and allergies. Kay Bear is not responsible for food or drink provided by the client.

  • If you require catering services or snacks for your event, please let us know in advance, and we can provide suggestions

Photography & Media

  • By booking with Kay Bear, you agree that photos taken at your event (including set-up and activities) may be used for promotional purposes and may appear on our website or social media platforms. If you do not wish for photos to be used, please let us know in advance.
