DIY Prop Hire T&Cs

Effective upon booking. Please read carefully before securing your event.

General

All services and items provided by Kay Bear Events are on a hire basis only, and all props, décor and styling items remain the property of Kay Bear at all times. By booking, you agree to these terms.

​

The minimum hire order is £50.00.

​

Breakage & Damage Deposit

  • A refundable breakage deposit (minimum £50) is required with your final balance.

  • This is held separately and returned after the event, once all hire items are returned in their original condition.

  • If items are returned damaged, late, or not returned at all, the cost of repair/replacement will be deducted. If damage exceeds the deposit, an additional invoice will be issued.

  • This can be paid via bank transfer (separate account) or in cash. Cheques are not accepted.

 

Hire Period

  • Standard hire covers 1–2 days, unless otherwise agreed.

  • Collection is from Winkleigh, Devon, or delivery can be arranged.

  • For extended hire periods, prior arrangement must be made. Late returns or unauthorised extensions are subject to additional charges and a £50/day penalty.

 

Cancellations & Postponements

  • Full payment is required upfront at the time of booking to reserve your items.

  • All DIY Prop bookings are non-refundable, even if cancelled, as your props are reserved exclusively for you and made unavailable to other clients.

  • If you need to postpone, we are happy to reschedule your hire to a new date (within 12 months), subject to availability. Please give as much notice as possible so we can accommodate your change.

 

Changes to Your Order

  • You can add to your booking at any time (subject to availability).

  • You may make adjustments or swap items up to 4 weeks before your event.

  • Items cannot be removed from your order within 4 weeks of the event. These items have been reserved for you and could not be hired out to others.

 

Care & Responsibility

  • All hire items are your responsibility from the moment they are collected or delivered until they are returned.

  • Any lost, broken, or damaged items will be charged at full replacement value.

  • Please ensure items are stored safely and not left unattended, especially if outdoors or in a public space.

  • Props must be returned clean, repacked, and in the same condition as delivered.

 

Craft & Games Set Ups

  • Some of our packages (e.g. craft and games set ups, table set ups) may be offered on a DIY basis.

  • This means you’ll set up and pack down the items yourself.

  • Items will be delivered or collected in ready-to-use condition, boxed and clean.

  • You are responsible for assembly, disassembly, and ensuring everything is returned safely and completely

 

Liability

Kay Bear Events is not liable for any injuries, damages, or losses arising from the use of hired items. We are fully insured with Public Liability Insurance. A certificate can be provided upon request.
